Most Indian exam, recruitment and government portals cap a PDF document between 300 KB and 500 KB, and the stricter ones add a floor of 20 or 50 KB. The current UPSC candidate portal wants certificates as pdf files of 50KB to 300KB, IBPS allows a 10th standard certificate of up to 500 KB on an A4 page, the NTA bulletins for NEET (UG) 2026 and JEE (Main) 2026 ask for 50 kb to 300 kb, and the RRB notices for Level 1 and ALP put the SC/ST certificate under 400 KB.

The figures below were read from the notices, bulletins and portal pages named in the sources, with the year or notification each one belongs to. Where a body publishes two different numbers for the same field, both are shown, since the upload screen may enforce either. For files that have to pass through an inbox rather than a form, Gmail stops at 25 MB.

Which portals set a PDF size limit for uploaded documents?

The table gathers every PDF figure found in the documents listed under sources. The year column names the notice or bulletin the number was read from, because these limits move between cycles: the RRB Level 1 CEN of 2025 says less than 400 KB while its own FAQ answers 500KB, and the UPSC figure for a photo ID changed when the new candidate portal replaced the OTR screens.

Three bodies dominate searches for this question. UPSC publishes a single sheet, Instructions for uploading documents, with a row for each file: certificates and affidavits are pdf at 50KB–300KB, while the photo, signature and photo ID are jpg. IBPS repeats one block in every CRP notification: the document must be a PDF, on an A4 page, not exceeding 500 KB. NTA writes the same band into the NEET, JEE and CUET bulletins, 50 kb to 300 kb for each scanned certificate.

Is the limit per file, per page or per field?

Every figure in the table is the weight of one finished file, measured after saving, and it applies to each upload field separately. A two-page caste certificate scanned into one PDF still has to come in under 300 KB on NEET or 500 KB on IBPS; the page count changes nothing in the rule, only in how hard the target is to reach. IBPS adds a page-size condition on top, A4, which is about the paper, not the bytes.

Two notices speak about combining documents. The RBI appendix suggests clubbing similar proofs into one scan when a single criterion needs several papers, and says the total must still fall within the 20 KB to 500 KB range. The Income Tax e-Proceedings FAQ works the other way round, with a cap on each attachment and a second cap on all of them together. UPSC goes further than size: each file must carry the exact name from its table, such as board_certificate, or it will not be accepted at all.

A minimum is as binding as the maximum. NEET, JEE, CUET and UPSC all start their bands at 50 kb, the RBI at 20 KB and the e-Visa at 10 KB, so a certificate saved as a very small, blurred PDF can be refused for being light rather than heavy.

Which scanner settings land under 300 KB or 500 KB?

File size follows three settings: resolution, colour and the compression quality of the page image. An A4 sheet is 210 × 297 mm, and at 300 DPI in colour its scan is roughly 1 MB to 3 MB as a JPEG, well past every cap in the table. The same sheet at 150 DPI in greyscale comes out at about 150 KB to 400 KB, which already fits most 300 KB and 500 KB fields, and printed text on a certificate stays readable at that density.

The IBPS and RBI notices say the same thing in their own words: if the file is over the limit, adjust the DPI resolution and the number of colours while scanning. Phone scanning apps hide these controls behind a quality or size setting; pick the medium option, choose black and white or greyscale for a printed certificate, and keep colour only where a seal or hologram matters.

How does the compressor on this page reach the figure?

Type the portal’s number as a hard maximum and the compressor works through three stages, stopping at the first that fits. It begins by saving the file again in a tighter structure, dropping unused objects and packing the internal tables; nothing visible changes, text stays selectable, and a loosely exported PDF often needs no more than this.

If the file is still over, the second stage re-compresses only the photographs and scans embedded in the pages. Their JPEG quality is lowered in measured steps, each result weighed, and they are scaled down only when quality alone is not enough. Text, lines and form fields are left alone, so a certificate that was scanned as one picture per page shrinks while any typed text stays searchable.

Only when that fails does the third stage render each page as a picture and rebuild the PDF from those pictures at whatever quality and resolution fits. The page keeps its size in centimetres and prints the same, but the text becomes part of the image and can no longer be selected. The result card names the stage used, the page count and the before and after sizes, so you can see which route the file took.

For bands with a floor, switch on the minimum and type it. If the compressed file lands below that number, unused padding data is added inside the file so it sits within the range; the pages themselves are unchanged. A file that is already under the maximum is handed back as it is, since compressing it again would cost quality for nothing.

Which fields want a JPG rather than a PDF?

Photographs, signatures, thumb impressions and handwritten declarations are image fields almost everywhere, with their own much smaller bands. NEET (UG) 2026 asks for the photograph as a JPG/JPEG of 10 kb to 200 kb and the signature at 10 kb to 100 kb; UPSC wants the photo as a jpg of 20KB to 200KB and the signature at 20KB to 100KB; IBPS PO keeps the handwritten declaration and left thumb impression as JPG files. SSC asks for no PDF at all under its 2026 notices, only a 10 to 20 KB JPEG signature, and the SBI PO 2025 advertisement likewise lists only JPG fields.

The photo ID is the field that swaps format between portals. The UPSC upload sheet lists id_card as a jpg of 20KB–200KB, whereas the older OTR FAQ still says the Photo-ID should be in PDF format at 20 KB to 300 KB; NEET takes identity proof as a JPG of 10 kb to 200 kb, and the e-Visa takes the passport bio page as a PDF. Read the field label on the upload screen, and if it says JPG, use the image compressor rather than this one.

Before pressing upload, run through the short list:

  • The file opens in a PDF viewer and every page is upright and legible
  • The size shown in the file properties is inside the band, including any minimum
  • The file name matches the portal’s table where one is prescribed (UPSC)
  • Front and back of a two-sided certificate are in the same file, in order
  • No password is set on the file, since the compressor and some portals cannot open one
  • The format matches the field: PDF for certificates, JPG for photo and signature

Frequently asked questions

What is the most common PDF size limit on Indian exam forms?
Between 300 KB and 500 KB. NTA, UPSC and CSIR-UGC NET use 50 to 300 kb, IBPS and RBI stop at 500 KB, and RRB sits between them at under 400 KB. A certificate compressed to 290 KB clears every one of these, so that is a sensible single target when the same scan will be reused across applications.
My scanned certificate is 2 MB. How do I bring it under 300 KB?
Add it to the compressor below, type 300, pick KB and press Compress. A 2 MB scan is normally one large colour image per page, so the second stage re-compresses that image and brings the file into range while keeping any text layer. Rescanning at 150 DPI in greyscale gives a lighter starting file if the first result looks soft.
The portal says my PDF is too small. Can a file be made heavier?
Yes. Switch on the minimum in the compressor below and type the floor, for example 50 for NEET or 20 for RBI. If the compressed result lands under it, padding is added inside the file until it sits within the band; the pages are not altered, and no viewer shows the extra data.
Can one PDF hold several certificates?
Only where the portal says so. The RBI appendix invites candidates to club similar documents for one criterion and keep the total within 20 KB to 500 KB. IBPS, NTA and UPSC give each document its own field and, in the case of UPSC, its own file name, so a merged file would be refused or land in the wrong slot. Merge the front and back of a single certificate; keep separate certificates separate.
Why does the RRB Level 1 CEN say 400 KB when its FAQ says 500 KB?
Both documents are official and both are quoted in the sources. Para 16.5.2 of CEN 09/2025 says the SC/ST certificate must be a PDF of less than 400 KB, while the FAQ for the same CEN answers the upload question with below 500KB. When two figures exist, meet the smaller one: a file under 400 KB satisfies both, and the CEN 01/2026 ALP notice repeats the 400 KB line.
Will the compressed certificate still be accepted at document verification?
The upload is checked for legibility, so the test is whether a clerk can read the seal, the name and the registration number on screen. The first two stages of the compressor change nothing in the text layer; the third renders the page as an image at the resolution that fits, which is why very tight caps on long files look soft. IBPS, RRB and NTA all ask that the uploaded copy be clear and readable, and the original is produced later in person.
